Job Posting: Sales Administrative Assistant

The Sales Administrative Assistant will provide support for the Sales Department in managing, monitoring and administration of daily sales operations and agency management, as well as providing assistance in other departments as needed.

Essential Job Functions

  • Answer emails, phone calls from members, agents and public
  • Assist members regarding basic annuity and life insurance information
  • Write life insurance and annuities for members and new customers
  • Send correspondence to agents regarding late payment status of their clients
  • Send agent login credentials and contracting materials including related supplies
  • Ensure that newly signed agent contracts are handled in an orderly and timely fashion using paperless filing method
  • Enter data of newly appointed agents in Sircon, NIPR, SIS, UBL, LogicalDoc, LIMRA and other-data based systems
  • Manage and monitor the administration of agent licenses, including processing state appointment, renewals and terminations
  • Administer agent anti-money laundering education, enforcement and compliance
  • Assemble and distribute new agent training materials and assist in agent training as needed
  • Manage agent website portal and when needed, communicate changes to the PRCUA Marketing Department
  • Manage agent master database for accuracy with agency phone, email, website, address information, contact information, agent licensing and compliance status
  • Printing and mailing of member marketing letters using mail merge with Microsoft Office products
  • Create marketing letters for Director and assist in managing sales and product reports
  • Attend promotional events at times to assist in booth duties, including attendance on weekends
  • Liaison between Director of Sales, agent force, members and other PRCUA departments
  • Manage Facebook Sales platform and Constant Contact projects

  • Excellent interpersonal and communication skills
  • Ability to prioritize and handle multiple tasks
  • Independent thinking and demonstration of good decision-making and assertiveness in handling planned and unplanned projects
  • Very proficient in Microsoft Outlook and Office products
  • Proficient with various social media platforms

Education/Experience

  • Associate degree or equivalent experience preferred
  • 1+ year of customer service experience preferred
  • 1+ year of administrative experience preferred
  • Must obtain Illinois producers license (life only) within 12 months of employment
  • Polish speaking a plus

Job Type: Full-time

Salary: $15.00 to $16.00/hour
